WHAT YOU NEED TO KNOW

COVID Update

Welcome back to a new year! We hope it will be a brighter and healthier year for everyone. We want to start with a reminder to all of you to continue your excellent work to keep your family and colleagues safe. Over the holidays we saw a few additional COVID cases, bringing us to 33 cases among people who work on our sites since mid-November. Also last week, the stay-at-home order for most of California was extended indefinitely to help alleviate the strain on hospitals in Los Angeles and elsewhere.

If you do not need to work on a Getty site, please work from home. This is particularly important if you have celebrated the holidays with family and friends or traveled. Our priority is the safety of those employees who must be on our sites. If you need to work on site and have traveled or celebrated the holidays with people outside your household, please talk with your supervisor about whether you need to quarantine.

We look forward to the promise of vaccines in the not-too-distant future. In the meantime, it is important for all of us to stay vigilant and to continue our safety protocols.

Reminder: Change in Vacation Accrual for Non-Exempt Employees

Effective with the pay period that began on December 27, 2020, (paycheck dated January 15) the vacation accrual schedule for non-exempt staff has changed, allowing non-exempt staff to move more quickly to higher levels of accrual. Managing Unconscious Bias in the Workplace

The JONES team will lead sessions on several dates in January and February. If you would like to register, please use this Survey Monkey link to select your preferred dates. You will receive a confirmation and Outlook appointment from DEIworkshops@getty.edu for the session for which you are scheduled.

Lunch and Learn with HR

In response to questions that have been raised by some of Getty’s DEI Task Forces and staff from around Getty, Nancy Gibson and Cathy Pericone will be holding open lunch-and-learn sessions on Zoom, beginning later this month. Each session will focus on a topic and cover such things as how employees may file a complaint/concern and what happens next, how HR partners with departments regarding raises and promotions, and HR’s role in recruiting efforts across Getty to meet our diversity goals. Look for information about these sometime in January.

Information Management Schedule Updates

Did you know? All information you receive and create in your job, whether electronic or paper, belongs to Getty and it’s important to take care of it properly. Attached is the updated Getty Information Management Schedule (IMS) and a chart of provisions that have changed since the last version of this policy. The IMS defines recordkeeping requirements by listing broad categories of information, stating the length of time you should keep that information, and indicating what to do with it once that time has passed. The descriptions and actions in the IMS apply to information in all formats (electronic, paper, and all other media) and stored in all locations (servers, hard drives, file cabinets, etc.) The new policy can also be found on GO, along with the Getty’s Information Governance Policy and practical guidelines for managing paper and electronic records.

Getty is committed to creating, keeping, and managing its information in accordance with legal requirements and best practices. Information management policies are reviewed and updated every two to three years by the Institutional Records and Archives Department and are approved by the Office of General Council. They should be used in conjunction with related Getty Digital acceptable use policies for digital resources.

New Mileage Rate

The Internal Revenue Service has issued the 2021 standard mileage rates used to calculate the deductible costs of operating an automobile for business transportation or travel. Beginning January 1, the standard mileage rates for the use of a personal car, van, pickup, or panel truck is 56 cents per mile for business miles driven, reduced from 57.5 cents per mile in 2020. The standard mileage rates are based on an annual study of both fixed and variable automobile transportation costs. PeopleSoft will be updated to reflect this change.

Two Armenian Manuscripts Join the Getty Collection

A recently acquired leaf from a 17th-century Armenian manuscript shows the Christian story of the arrival of the Christ child on Earth. In the early 20th century, the leaf was cut out of its original book, likely by an art dealer. However, we are now able to reunite it with the parent volume and a second detached leaf, which have been in Getty’s collection since 1983. Along with an Armenian manuscript from the 16th century, this leaf was acquired by the Getty manuscript department last winter as part of the department’s continued efforts to extend the bounds of the collection beyond western Europe. Together, these two new acquisitions bring Getty’s Armenian manuscripts collection to seven. Learn more about the two manuscripts on the Iris.

Getty staff, docents, and volunteers are invited to join an all-staff update on Tuesday, January 12, 2021, at 10:30 a.m. Pacific time via Zoom webinar. The webinar will include an update from the Board of Trustees and a report on diversity, equity, and inclusion.
