Use Primo Search to discover Library resources and more:

All requests for material are processed through our discovery system, Primo Search. A Patron ID is required for requesting items, but not for searching. For further information, see Visiting the Research Library.

If an item is checked out, you can still request it. The request will be processed as a recall. This applies to both General Collections and Special Collections material. If there is an issue recalling the material, library staff will contact you.

Please consult the circulation schedule for request and pick-up times based on the item location.

Requesting General Collections Material

  1. Go to Primo Search and sign in with your Patron ID and last name.
  2. Search for desired material. To limit your results click GRI General Collections under "Refine my Results"--"Collections" on the left side of the screen.
  3. Click the "Request" button in the item record.
  4. If applicable, click on desired "Location" link.
    • Plaza Readers must request materials located on L2 and L3 through Primo Search. All other patrons must retrieve L2 and L3 materials themselves and use self-checkout at the library's public computers.
  5. Click "Request" link under Options or Request Options.
  6. Finalize by clicking orange "Request" button.
  7. Go to "My Account" to confirm that your request went through. Click "Requests" to view your requested material.

Requesting Special Collections Material

Access to Special Collections material is by appointment only, with at least two weeks' advance notice. For an appointment, please contact the Reference Desk at (310) 440-7390. Requesting material through Primo Search does not confirm an appointment.

Restricted items: Some items may be restricted and are therefore unable to be requested through Primo Search. Please contact Reference for further assistance.

Circulation of material: Most Special Collections material circulates by box/roll/flat-file numbers. Some archival collections have a finding aid that describes the contents of the archive by box/roll/flat-file number. You must use these numbers to request material in Primo Search through the request function.

Oversize material: These items are identified with an asterisk(s) after the item number (e.g., box 825*, flat file 526**). In order to properly view these items, you will need to reserve additional space in the Special Collections Reading Room. Please contact the Reference Desk at (310) 440-7390.

Audiovisual material: Select the items identified as "Use Copy"; original and master recordings do not circulate. If there is not a use copy available, then a request to have the item reformatted must be submitted on your behalf. Please contact Reference at least six weeks prior to your visit to inquire about reformatting.

Steps to request Special Collections material:

  1. Go to Primo Search and sign in with your Patron ID and last name.
  2. Search for relevant material. Limit your results by clicking GRI Special Collections under "Refine my Results"--"Collections" on the left side of the screen.
  3. Click on the collection record and, if available, view the finding aid under "Links" on the right side of the screen.*
    • In the finding aid, use the keyword search to find items of relevance to your research.
    • Make note of the box/roll/flat-file numbers.
    • Go back to the catalog record and request the material using the relevant numbers.
  4. Click "Request" button in item record.
  5. If applicable, click on desired "Location" link.
  6. Click "Request" link under Options or Request Options.**
  7. Finalize by clicking orange "Request" button.
  8. Go to "My Account" to confirm that your request went through. Click "Requests" to view your requested material. Once your requests have been received by library staff, they will no longer appear in "Requests"; however, the day before your confirmed appointment in the Special Collections Reading Room, the items will again be viewable under "Loans."

*Not all collections have finding aids. If a finding aid is not available, it may be necessary to request a selection of box numbers.

**If no request link is present under "Options" or if you do not see a box/roll/flat-file number, please contact Reference for further assistance at (310) 440-7390.
